Program Coordinator

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Assist the onsite Facility Medical Director (FMD) and Operations Team with the daily operation of the site specific program and service commitments to hospital and patients. Work at the program level at client facility every day
  • Develop and maintain positive working relationship with hospital staff and management. Maintain an “open door” policy with hospital management
  • From site level, work closely with clinic staff to monitor billing and collections process for the program. Assist Operations Team decision support personnel in creating benchmarks for performance measurement
  • Ensure charges for in-patient and clinic services (if applicable) are batched correctly and sent daily to outside billing & collection entities according to standards established by the Billing Department. Review the E & M codes for appropriate level of care before sending. Stay abreast of coding changes and trends to better monitor the charges that are sent out. Use client generated volume reports as a check & balance to assure all inpatient charges are captured
  • Monitor physician documentation including completion of charts
  • Communicate potential issues to the Operations Team when they arise with physicians, clinic, or patients, maintaining the best interest of the Company and commitment to the client
  • Assist with orienting new physicians joining the program when necessary. Coordinate tours of the facility if asked to do so, make introductions, and obtain any necessary paperwork
  • Manage all administrative functions of the program as this is a working manager position
  • Design, implement, and monitor all schedule templates to meet site specific needs with direction from FMD and Operations Director
  • Implement and routinely monitor all clinic flow for maximum efficiency from the initial referral process as described by Operations Director
  • Routinely monitor surgery scheduling processes. Make sure the correct information is being provided to the surgery department and the authorizations are being obtained to ensure reimbursement for the surgical services
  • Ensure clinical compliance, regulatory compliance and safety/privacy regulations are maintained at all times including Infection Control reports
  • Stay abreast of improvements to the current practices and trends in physician practice management and hospitalist program management
  • Other duties as required and assigned by the Operations Director. These may, on occasion, be unrelated to the position described here

Job Requirements:

QUALIFICATIONS / EXPERIENCE:
  • BA/BS Degree or equivalent experience required
  • Minimum of 2 years of experience in a multiple provider practice setting at the coordinator or supervisory level required
  • Must have direct experience with coding, billing and collections
  • Must have medical scheduling and billing management experience in a practice and/or hospital setting
  • Substantial experience interacting with physicians and hospital administration required
  • Considerable experience coordinating practice efforts with hospitals ideal
  • Must have proven ability to support multiple projects and work with multiple people simultaneously
  • Advanced computer skills required
  • Must have ability to work with sensitive information and maintain confidentiality
  • Must have exposure and experience with health care technology (EMR, Coding software and Practice Management Information Systems), business finances and budgets to aid in the cost management of the program
  • Effective verbal and written communication
  • Efficient organization and time management
