Practice Coordinator

TeamHealth Jacksonville, FL (Onsite) Full-Time
The Practice Coordinator supports TH Hospital Medicine (THHM) by overseeing both administrative and operational aspects. Administratively, they assist the Facility Medical Director, VP of Client Service, Regional Medical Director, and TH HM provider staff, collaborating with hospital administration to ensure comprehensive support. Operationally, their duties include accurately documenting and managing patient encounters, compiling and forwarding necessary medical records to the Billing Center, and maintaining detailed records for reporting purposes. They also collect facility metrics for performance dashboards and are expected to meet productivity and goal targets set by their supervisor.

Essential Responsibilities:

  • Execute duties as directed by TeamHealth and maintain regular communication with the designated supervisor.
  • Adhere to HIPAA compliance standards, ensuring patient confidentiality at all times.
  • Access hospital information systems or collaborate with facility staff to collect patient demographic and insurance data for accurate billing.
  • Coordinate the completion of clinical documentation, ensuring all physician records are properly signed and finalized.
  • Monitor and report any facility process changes or deviations to the Supervisor and TeamHealth.
  • Meet individual performance goals set by the Supervisor.
  • Maintain a professional appearance and uphold high-performance standards.


Administrative Responsibilities:

  • Provide administrative support to the Facility Medical Director, VP of Client Services, Regional Medical Director, and TH HM provider staff.
  • Schedule and prepare agendas and minutes for monthly TH HM administration and provider meetings.
  • Manage provider scheduling changes and notifications.
  • Collect and track key performance data for dashboard reporting.
  • Complete and submit dashboards for electronic interfaces.
  • Distribute messages and mail and assist with miscellaneous tasks such as marketing and outreach programs.


Operational Responsibilities:

  • Obtain copies of inpatient medical records upon discharge and ensure completeness before batching.
  • Verify that each medical record includes essential documents such as physician charts, hospital face sheets, insurance information, and physician orders.
  • Assemble, reconcile, and forward completed medical record batches to the Billing Operations Center (BOC).
  • Communicate with supervisors and physicians regarding incomplete records, escalating unresolved issues to leadership as needed.
  • Retrieve and resolve missing or incomplete records promptly.
  • Develop and maintain positive relationships with hospital staff.
  • Adhere to scheduled working hours, accurately report time using KRONOs, and schedule time off in advance to avoid workflow disruptions.
  • Perform additional tasks and responsibilities as assigned by the Supervisor or TeamHealth leadership.

Job Requirements:



Education & Experience:

  • General knowledge of the medical record process, with at least one year of experience in a hospital or physician office setting preferred.
  • Understanding of patient registration and medical documentation processes.
  • Clerical and reconciliation experience with strong record-keeping skills.
  • Bachelor’s degree or equivalent job experience preferred.


Skills & Abilities:

  • Excellent communication and organizational skills.
  • Strong ability to develop and maintain positive working relationships.
  • Ability to work independently with speed and accuracy.
  • Detail-oriented with practical time management skills.
  • Proficient in Microsoft Excel and Word.

Work Conditions & Physical Demands:

  • Ability to work independently, reporting to management and adhering to the shipping schedule.
  • Job performed in a well-lit workspace (hospital-based or designated work area).
  • May require occasional lifting/carrying (typically 10 pounds or less).
  • Prolonged sitting, standing, and use of office equipment such as a photocopier, scanner, fax, and PC.
  • Occasional telephone communication.
  • Frequent manual dexterity tasks, including computer use, data entry, and operating office machines.
  • Potential need for overtime or extended work hours beyond a regular schedule.
