JOB OVERVIEW:
This position is primarily responsible for providing a leadership role to delegated Site Coordinators, which includes various lead functions, creating and monitoring work processes, and acting as a liaison between hospitals, Billing Centers, and the Manager and Director. This position is also responsible for reducing the amount of lost or missing chart information and unnecessary unbillable charts by working with the Manager to provide administrative and operational direction and follow-up to physicians, Site Coordinators, and hospital personnel. This includes verification of use by Site Coordinators of missing and incomplete chart policies to comply with Team Health's documentation requirements for reimbursement and medical and legal purposes.
ESSENTIAL FUNCTIONS:
- Provides the TeamHealth training program to new and existing Chart Capture staff to ensure proficient performance responsibilities and to retain a complement of Chart Capture staff knowledgeable in chart management and billing processes.
- Responsible for coaching and auditing the Site Coordinators as required and providing results to discuss with the Manager.
- A model desired performance standards, gave regular feedback about strengths, and provided actionable feedback to the Manager when individual performance declined.
- Responsible for maintaining shift coverage of site coordinators at the facilities and ensuring that paper or electronic batches arrive at the billing center timely. The Manager will handle employee hiring, termination, and disciplinary action.
- Provides monthly audits for new employees at 30, 60, and 90 days, quarterly audit results for existing employees, and annual performance evaluation feedback to the Manager. Works with the Manager on tracking performance improvement plan results.
- Continually evaluates the amount of lost or missing chart information at the facilities and works with the Manager to create and implement processes for improvement by working with the Chart Capture Rep and appropriate facility personnel.
- Communicates Team Health and Billing Center policy changes to staff promptly and seeks assistance from the Manager to provide answers to questions relative to corporate policies and procedures.
- Communicates regularly with the Manager, providing ongoing updates regarding facility changes, training, complicated situations, workflow processes, potential problem areas, etc.
- Travels to facilities as needed to maintain relations with Site Coordinators, monitor performance, and assist with pertinent issues.
- Updates the Manager on facility contract status related to chart management and facilitates the Manager's involvement in the Chart Capture Rep's work processes as needed.
- Develops and maintains professional relationships with the various hospital departments.
- Interfaces directly or through Chart Capture Reps with hospital medical records, business office and registration personnel, physicians, and facility personnel to obtain missing and incomplete chart information.
- Works with site coordinators to distribute communication regarding outstanding documentation for physicians and operations staff.
- Client Services Manager from the client services manager, documentation specialist risk management with requests.
- Maintains personal adherence to professional confidentiality standards established within the Department and by legal, HIPAA, ethical, and hospital standards.
- Assists in the facilitation of team process at Team Health by participating in developing and implementing team goals; participating in problem-solving and decision-making; supporting corporate, affiliate, and billing center management decisions; being flexible and adaptable to change; establishing trust and respect for other team members; placing team needs first; and by completing all necessary training.
- Ensure compliance with Team Health standards and external regulatory bodies.
- Participates in the annual review of departmental procedural guidelines to ensure relevance and compliance.
