POSITION OVERVIEW:
The Practice Coordinator supports the practice's administration and operations, assisting the TH Facility Medical Director, provider staff, and other leadership. They are responsible for managing patient charges in IMBills/ONBase, reconciling data, and providing monthly volume data. They also work with the Facility Medical Director and hospital administration to gather key metrics and meet productivity standards.

ESSENTIAL RESPONSIBILITIES:

  • Perform duties as directed by TeamHealth and communicate regularly with the Director of Operations.
  • Ensure HIPAA compliance and maintain patient confidentiality.
  • Reconcile patient demographics, insurance, and authorization data in the billing system daily and monthly.
  • Coordinate clinical documentation from physicians and ensure completion with the medical director.
  • Alert Director of Operations to any process changes.
  • Meet individual goals set by the Director of Operations and maintain professional performance.

ADMINISTRATION RESPONSIBILITIES:

  • Support Facility Medical Director, VP of Operations, Operations Directors, and other leadership.
  • Schedule meetings, prepare agendas, and take minutes for the monthly TH OB Provider meeting.
  • Collect and report key volume data for dashboards.
  • Check voicemails twice daily and return patient calls to schedule appointments as needed.

OPERATIONAL RESPONSIBILITIES:

  • Assist with billing for multiple hospital locations and process patient charges in Ingenious Med/OnBase.
  • Review and reconcile patient data with daily census and logs.
  • Communicate with the Director of Operations and physicians about incomplete records and escalate when needed.
  • Identify and retrieve missing records promptly to meet goals.
  • Develop positive relationships with hospital staff and ensure accurate timekeeping in Kronos.

JOB QUALIFICATIONS:

  • At least one year of experience in a hospital or physician office setting preferred, with knowledge of patient registration and medical records.
  • Preferred: Clerical and reconciliation experience.
  • B.A. or equivalent experience preferred.
  • Strong communication, organizational, and interpersonal skills.
  • Ability to work independently and manage time efficiently.
  • Proficient in Excel and Word.
