Lead Practice Coordinator

POSITION OVERVIEW:
The Practice Coordinator Lead plans, organizes, directs, monitors, and provides leadership for the THHM Practice Coordinators' daily workflow both on and offsite. The Practice Coordinator Lead ensures a smooth chart flow to the BasePointe billing office according to established timelines. During staffing shortages and when a backlog is created, the Practice Coordinator Lead must facilitate production for facilities to meet monthly close targets.

The Practice Coordinator Lead ensures that missing and incomplete records for each hospital are retrieved according to established standards. The Practice Coordinator Lead develops and maintains positive working relationships with staff, hospital administration, medical records directors, nurse managers, IT, and facility medical directors to ensure an effective workflow. Additionally, feedback on incomplete or missing record trends will be provided to the PC leadership, Facility Medical Directors, VP of Operations, Regional Medical Director, and Documentation Specialists, consistently following the chain of command as needed to escalate issues.


The Practice Coordinator Lead will be responsible for ensuring internal processes are being followed and will provide training to include the complete daily batching process, IMBills training, and monitoring, collection of key metrics for incentive tracking, performance tracking, MRTS, MIPS, and monitoring of the ETM (Denials Management System) and will provide audits as required by TeamHealth to ensure accuracy.


ESSENTIAL DUTIES AND RESPONSIBILITIES:
 Facilitates timely communication with the Practice Coordinator Supervisor concerning issues and/or problems identified by batches during their work.

 Plans Practice coordinator department staffing needs in compliance with annual department budget amounts.

 Completes needed chart flow process when short-staffed to ensure monthly closes.

 Assumes other tasks, duties, and responsibilities as assigned by the Practice Coordinator Supervisor and/or VP of Chart Capture Operations.

 Conducts quarterly batch review audits for each Practice Coordinator, or as needed, to measure Practice Coordinator accuracy.

 Performs quarterly unbillable reviews for each facility and promptly obtains and provides errors to billing.

 Collects, maintains, and distributes monthly facility dashboard reports, facility core measure data, and facility HCAHPS data.

 Other duties as assigned.

Job Requirements:

JOB QUALIFICATIONS:
General knowledge of the medical record process, with at least one year of experience in a hospital or physician office setting and an understanding of patient registration and medical documents, is preferred—clerical and reconciliation experience and the ability to maintain record keeping.
